Privacy notice for VENN Status

Draft — pending legal review. This describes what VENN Status actually collects and does today, adapted from VENN's group-wide privacy policy. It has not yet been reviewed or approved by legal counsel and is not yet in effect as an official published policy.

What this notice covers

This notice explains what personal data updates.venn.tel ("VENN Status") collects when you subscribe to status notifications or request the Support One Pager. It's specific to this site — for VENN's group-wide privacy policy covering our other products and services, see venntelecom.com/en/privacy.

Who we are

VENN, with registered office at Lenneke Marelaan 6, 1932 Sint-Stevens-Woluwe, Belgium, registered with the Crossroads Bank for Enterprises under number BE 0555.735.368, is the data controller for the personal data described here.

What we collect, and why

How long we keep it

Subscriber data (email, company name, Slack webhook URL) is kept for as long as your subscription is active. Unsubscribing — a one-click link in every notification, or a request to support@venntelecom.com — deletes it immediately from our live system, and from our backups within 60 days. One-time tokens (subscription confirmation codes, one-pager download links) are deleted automatically within an hour of being used or expiring, whichever comes first.

Status notification emails are sent through VENN's own internal mail systems, not an outside email marketing provider.

Cookies and local storage

This site uses two cookies, both strictly necessary for it to function: a login session cookie (only ever set if you sign in as an administrator) and a cross-site request forgery (CSRF) protection cookie set for every visitor. Neither is used for tracking or advertising, and this site has no analytics or marketing scripts — so no cookie consent banner is shown. Your light/dark theme preference is saved in your browser's local storage, not a cookie, and never leaves your device.

Anonymous traffic statistics

We keep a simple count of page views by day and country, so we know roughly how much this site is used and from where. Your IP address is looked up against an offline location database in memory and immediately discarded — it is never written to disk, and no cookie or other identifier links your visits together. What's stored is a running total, like "42 views from Belgium on 15 July 2026" — there is no record of any individual visit, so this isn't personal data about you at all.

Your rights

Under the GDPR, you have the right to access the personal data we hold about you, have inaccurate data corrected, have your data erased, receive a copy of your data in a portable format, object to or restrict our processing, and withdraw your consent at any time (which doesn't affect processing that already happened before you withdrew it). Unsubscribing gives you erasure and withdrawal of consent immediately and automatically. For anything else, contact us at support@venntelecom.com or by post at the address above.

Complaints

If you believe we've mishandled your personal data, you can raise it with us directly at support@venntelecom.com, or complain to Belgium's supervisory authority, the Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données).

We'll update the date below if this notice changes in any way that affects what we collect or how we use it.
